More and more organisations are aiming to go paperless. But the fact is that it all begins with a form that needs to be filled in and then stored. It is another matter that the information is then transferred onto a computer and then onto a DVD that can then be pulled out whenever required. This is where document management solution is stepping in and helping many businesses to streamline not just their paper work but also providing easy access to the information at the click of the mouse.
Speaking at the recently concluded global conclave that was held in Goa, Harsh Tikku, global head, Business Acquisition of SoftAge Information Technology limited tells you that document management is the future. “Today, we have presence in 500 cities with over 11,000 employees; we have 600 offices in 25 States. This shows that the need for the kind of service we provide is on the rise,” Tikku says whose company has been providing services pan India for the last 20 years.
Most of the service providers in this field have end-to-end document management service. This means that from collecting the documents to capturing the data and uploading it to the clients server, everything has to be done at the earliest. In fact, it takes approximately two hours — from the time the runners pick up the documents to the final uploading. “We also have a backup in case of a crash. The data is captured every 15 minutes at the Bengaluru office. Our’s is a process driven system and we upload 5 lakh documents per day; which in turn means about 15 million pages. This is a record in itself,” Tikku tells you.
Besides, storing the information onto a DVD, documents themselves need to be stored. large warehouses are located in different cities. This means that this sector offers plenty of job opportunities — from drivers who pick up the documents to guards at the warehouses to software developers who are constantly coming up with solutions on how to better the technology of storage.
“We act as a strategic partner offering integrated one-stop solution for the entire chain of the document life-cycle management. By providing critical support services in the space of document management, we help our clients to focus on their core business activities without compromising on document management related activities. All activities including document data flow right from the point-of-collection to the warehouse, including verification, audit, image processing, record creation, storage and retrieval are provided under one roof. Its highly efficient process involving designing and implementation is customised according to the needs of each client,” Tikku says. The two-day event saw experts and professionals from across the globe and a variety of sectors talk about the right knowledge and connections. Demonstration of latest technologies, a panel discussion, expert speakers, a workshop were other highlights of the conclave.
